Notion HR template vs BambooHR

BambooHR is real HR software with payroll, compliance and an audit trail, priced from $10 per employee per month and a flat $250 monthly minimum under 25 staff. A Notion HR template is $59 once and covers attendance, leave and reimbursements, with no payroll and no row-level privacy. Under about 25 people with no payroll or compliance requirement, the template is the rational choice. Once you need statutory filings or a real permission model, it is not, and no amount of Notion will change that.

Most comparisons like this are written by whoever is selling one of the two options. This one is too — I sell the template. So the useful thing I can do is be specific about when you should not buy it.

The honest summary

BambooHR is a proper HR platform. It does payroll, benefits, onboarding workflows, e-signatures, compliance reporting and a real permission model. It has a support SLA and an audit trail. If you need those things, this comparison is over and you should buy BambooHR.

The Notion template does five things: attendance, leave requests, leave balances, holidays and reimbursement claims. It costs $59 once. It has no payroll, no compliance features and no row-level privacy.

The question is not which is better software. BambooHR is better software. The question is whether you need it yet.

The flat minimum is the number that decides this for most small teams. A six-person agency pays the same $250 a month as a twenty-five person one — around $3,000 a year to track leave for six people. That is not BambooHR being unreasonable; it is a platform priced for companies with an HR function, applied to a company that does not have one.

Where BambooHR clearly wins

Payroll. The template does not do payroll and will not. If you want hours to become paychecks without re-keying, that is BambooHR.

Compliance and audit. Statutory reporting, retention policies, a defensible record of who changed what and when. Notion has page history; it does not have an audit trail in the sense a regulator means.

Row-level privacy. This is the template's most significant limitation and it is structural, not a missing feature. Notion permissions apply to pages, not rows. In a shared leave database, anyone with access can see everyone's requests. The template separates the admin dashboard from the employee TeamSpace, which handles the obvious cases, but it cannot hide one employee's row from another inside a database they both use. BambooHR's permission model does exactly this, properly.

Onboarding and e-signature. Offer letters, policy acknowledgements, document collection with signature tracking. Not something to reproduce in Notion.

Scale. Past roughly fifty people, Notion views holding years of attendance rows get slow, and the manual steps that were fine at ten become somebody's job at eighty.

Someone to call. A vendor with a support obligation is worth real money the week something breaks.

Where the Notion template wins

Cost, by two orders of magnitude. $59 against roughly $3,000 a year.

It lives where your team already is. If your company runs on Notion, leave requests in Notion means no new login, no new app, no adoption problem. Most small-team HR software fails on adoption rather than features.

You can change anything. Add a leave type, add a property, restructure a view. No feature request, no waiting on a roadmap.

Fifteen minutes to running. Duplicate, add people, set balances. Compare with an implementation call and a data import.

You own the data. Notion databases export to CSV. Nothing to negotiate on the way out.

Pick BambooHR if

  • You need payroll, or you will within a year
  • You have compliance or statutory reporting obligations
  • Employees must not be able to see each other's records
  • You are above about fifty people, or growing fast toward it
  • You have an HR hire whose job includes running the system
  • Onboarding paperwork and e-signature are a real part of the work

Pick the Notion template if

  • You are under about twenty-five people
  • Your team already works in Notion
  • Payroll happens somewhere else and works fine
  • The real problem is that leave lives in WhatsApp and attendance lives in a spreadsheet
  • $250 a month to track time off for eight people is not a defensible spend
  • You would rather own something you can change than rent something you cannot

The middle path nobody mentions

You can build this yourself. Everything the template does is documented step by step and free to read — attendance tracking and the leave request system are the two that matter, and between them they cover most of the value.

It takes ten to twenty hours to get right. If your time is worth less than about $6 an hour, build it. Otherwise the template is the cheaper option, and either way you end up with the same thing: HR admin that stops eating an afternoon a week.

Common questions

Is a Notion template really a substitute for HR software?

For a slice of the job, yes. Attendance, leave requests, leave balances, holidays and reimbursement claims are all just structured records with a status field, and Notion handles those as well as anything. Payroll, tax filings, benefits administration and compliance reporting are not, and a template that claimed otherwise would be lying to you.

What happens when we outgrow the template?

You export the databases to CSV and import them into whatever you move to. Nothing is locked in, which is one genuine advantage of building on Notion — the data is yours in a format every HR platform ingests.

Does BambooHR have a free tier?

No. There is a free trial, and pricing after that starts at a flat monthly minimum for smaller teams rather than a per-seat charge, which is what makes it expensive at small headcounts specifically.

Can we run both?

Some teams do, and it is usually a mistake. Two systems holding leave balances means two answers to the same question. If you buy HR software, move leave into it and let the Notion side go.
